POSITION DETAILS

Job Summary:

Under direction of the GSM Director of Academic & Student Services, the Academic Advisor will coordinate with necessary GSM staff and UCD campus peers to support the GSM minors: Technology Management Minor, Accounting Minor and any future minor degree program. This includes advising students, certifying minor completion and promoting the minors on campus.  Under the guidance of the GSM Registrar, the Academic Advisor will support GSM Registration and course scheduling functions as needed.

Essential Responsibilities:

70% GSM MINOR PROGRAM SUPPORT & ADVISING

Serve as primary adviser for GSM Minor student concerns, needs, and issues and as front-line contact for GSM Minor students.

Develop strong working relationships with other campus academic advisors to communicate GSM Minor P&P and to help promote all GSM Minor programs. Represent the GSM at a variety of undergraduate-related events and activities.

Work with staff in Student Affairs and other departments to ensure that all UC Davis GSM Minor students have an exceptional experience. Provide high-level professional support for the GSM Minor programs, including faculty, students and staff as needed.

Disseminate information on GSM Minor policy, deadlines, courses, registration, events, curriculum, and other information.

Maintain and updates the GSM Minor student websites, perform content edits, updates and additions for information on course offerings, academic requirements and other pertinent information. Work with the GSM Webmaster to maintain the webpages in a timely manner and ensure that new content meets UC Davis web and editorial standards.

Complete special projects as requested by the Dean, Senior Assistant Dean, Director and GSM Registrar.

Maintain the confidentiality of student information in accordance with the Federal Educational Rights and Privacy Act of 1974 and other laws and regulations.

30% REGISTRATION SUPPORT, COURSE SCHEDULING & OTHER ACTIVITIES

Under the guidance of the GSM Registrar, the Academic Advisor will assist with scheduling undergraduate courses; work with faculty and GSM Registrar to create quarterly schedule; request general assignment classrooms. Resolve enrollment issues, which includes using BANNER to create PTAs (Petition to Add Numbers).

Fulfill responsibilities in a professional, time-sensitive and confidential manner.

Work occasional overtime, sometimes on short notice.

Available to work occasional evenings and weekends as needed, for programming support.

Work Environment:

Requires some limited travel; must be able to drive to all GSM campuses, including Sacramento, Davis, San Francisco and San Ramon campuses. Valid California driver’s license required.

Lift equipment and supplies weighing up to 30 lbs.

QUALIFICATIONS

Minimum Qualifications:
  • Experience providing academic or other advising to students, preferably in a college or university setting.
  • Strong communication and interpersonal skills to effectively represent the GSM. Skills to maintain a professional demeanor at all times.
  • Skills to establish exercise independent judgment, work independently and as a team member, perform multiple assignments, meet deadlines and maintain a high level of productivity.
  • Skills to solve problems and develop solutions independently and effectively.
  • Skills to solve problems and develop solutions independently and effectively.
  • Skills to handle difficult, sensitive and/or confidential issues with student groups, persons of varying ages and ethnic backgrounds, special interest groups/organizations, campus staff, faculty, the public, and others.
  • Experience providing a high level of customer service to the public.
  • Experience performing administrative support functions in an office environment.
  • Technical and computer skills to use word processing, spreadsheet, email and student database systems effectively. Proficient computer skills using Microsoft Excel, Outlook and Word.
  • Attention to detail.

Preferred Qualifications for Selection:

  • Knowledge of UC Davis undergraduates academic and degree policies and procedures.
  • Knowledge and experience of UC Davis and campus resources.
  • Prior experience working with undergraduate students.
  • Prior course scheduling system experience.
  • Writing, editing and proofreading skills to quickly and accurately produce emails, letters, memos, reports, etc.
  • Knowledge of Federal Educational Rights and Privacy Act of 1974.
