Job Summary

Under general supervision of the Director of Undergraduate Advising and Policy, provide in-depth, wide ranging and complex academic advising to undergraduate students in the Business Major in the Graduate School of Management (GSM). Under general supervision of the Director, provide academic advising support to address difficult problems in advising to identify systemic barriers and issues, and propose solutions. Provide in-depth, wide-ranging and complex academic advising to undergraduates, prospective students, faculty, and other administrative units. Interpret, analyze and implement a wide variety of Academic Senate regulations and administrative policies; assess individual academic performance and progress toward degree requirements; evaluate and approve transfer credits; refer students to campus and community resources; and represent the college during academic and outreach programming. As a member of a team, make decisions on academic standing, readmission, and other important matters for individual students. GSM is a hybrid workspace, as determined by the Director.

Essential Responsibility

55% UNDERGRADUATE ACADEMIC ADVISING 

  • Manage a caseload of students from matriculation to graduation. 
  • Provide individual and group advising to undergraduate students regarding college, university and major requirements, including course articulations and equivalencies, curricular changes, as well as policies and procedures. 
  • Counsel and assist students with course selection, degree and/or minor requirements, registration procedures, quarterly changes and deadlines, and petitions. 
  • Interpret University policies to students and other stakeholders. 
  • Advise students in academic difficulty and make recommendations regarding performance improvements, and when appropriate, provide referrals to various campus and community resources to address specialized needs. 
  • Participate as a member of a team to make decisions on disqualification, continuation, readmission, student appeals and requests for late actions and exceptions. 
  • Communicate decisions to students; set and enforce return/continuation conditions. 
  • Evaluate transfer records and determine how academic credit will be applied toward college and university requirements. 
  • Evaluate transfer student records and provide recommendations on course work using articulation, databases and other advising tools. 
  • Determine completion of degree requirements. 
  • Develop, recommend, and implement processes to increase efficiency and clarity of information. Maintain confidential records regarding academic information.

30% ACADEMIC ADVISING PROGRAM SUPPORT

  • Support academic and advising-related programs, including but not limited to: Selective Major Review process for transfer student admissions, supervising peer advisors, newly admitted student Orientation programs and yield events such as Aggie Day, annual advising requirements. 
  • Attend and participate in first-year success seminar for business students (MGT 001). Participate in commencement-related events. 

10% CURRICULAR AND COURSE SUPPORT

  • In partnership with the faculty and Director, review and update General Catalog. 
  • Work with faculty and the Academic Operations team to help resolve student enrollment issues, manage waiting lists, help instructors with classroom concerns and prerequisite petitions, and provide PTAs to students as appropriate. 

5% PROFESSIONAL DEVELOPMENT AND COMMUNICATION

  • Participate in campus advising trainings, meetings, and seminars, and the UC Davis annual advising conference, and other activities to develop and improve student advising. 
  • Communicate with the advising team, faculty and staff in GSM, and campus offices to implement best advising practices, refer students who seek enrichment, research placements or specialized services to appropriate contacts, and maintain consistent interpretation and implementation of policies and procedures.

Minimum Qualifications 

  • Bachelor's degree in STEM field, academic advising, counseling, higher education, student services, psychology, sociology, or related field; or equivalent combination of education and experience.
  • Experience identifying and determining appropriate level of advising or referral services for individual students in a university setting, providing immediate crisis counseling, triage, and referrals to students in academic, financial, or personal difficulty.
  • Experience with undergraduate major curricular elements and structures such as courses, units, prerequisites, majors and minors, with experience examining and assessing college transcripts and compute or review on-line computations of grade point averages and grade point balances.
  • Experience prioritizing and organizing a heavy workload to achieve timely progress on multiple projects, distributing appropriate effort among the projects to meet deadlines and maintain a high level of productivity.
  • Knowledge and experience working with culturally diverse communities in an academic environment.
  • Interpersonal communication skills to interact positively, cooperatively, and professionally with team members, administrators, staff, students, and the general public all of varying ages, cultural backgrounds and perspectives.
  • Writing, editing and proofreading skills to prepare clear and accurate correspondence, reports and concise summaries. Knowledge of state and federal laws governing confidentiality of student records.

Preferred Qualifications

  • Experience working independently evaluating, planning, and coordinating both small and large projects.
  • Experience supervising student staff in a variety of venues and circumstances.
  • Experience with implementation of advising and transition programs aimed at specific populations of students such as first-year and transfer students and students experiencing academic difficulty.
  • Experience working at a UC, and UC Davis in particular, in undergraduate academic advising.
